As Manager of Facilities and Administration, the primary responsibility will be to oversee and coordinate all aspects of the organization's facilities and administrative functions.
This key position will be responsible for maintaining a safe work-environment (OSHA), overseeing all facilities-related activities to include asset management, managing administrative functions as well as preserving the good condition of infrastructure and ensure that facilities are safe and well functioning.

Education :
Any Bachelor's Degree.
Experience :
5-7 years minimum experience.
Proven experience in facilities management, administration, or a similar role.
In-depth knowledge of facility operations, health and safety regulations, and compliance standards.
Roles & Responsibilities :
Building Operations and Maintenance.
Assist in the development and implementation of policies, rules, and guidelines based on the operations of the building.
Ensure effective power management is being implemented.
Ensure that Building rules, regulations, and policies are properly implemented.
Ensure that proper periodic maintenance is applied to the facilities' critical equipment.
Ensure that efficient manpower meets requirements at the most optimal cost.
Review and approve work permits.
Ensures annual renewal of regulatory permits and licenses from government agencies.
Prepare scope of work, cost estimates, and specifications for maintenance and repair activities.
Prepare and monitor budget and actual operating expenses.
Oversee and management of the general admin services, office management and administration related tasks and activities.
Building Security and Safety.
Act as Safety Officer and oversee that safety standards and procedures are observed.
Ensures a safe and secure work environment.
Manage security workforce and monitor and implement security program and standard procedures during site operations.
Review and approve incident reports and ensure that incidents are closet monitored and rectified.
Ensure proper working condition of physical security controls (CCTV, access systems, etc.).
Active participation during Business Continuity Plan (BCP) drills and activities
Space Planning and Construction.
Work with the Project Management and Construction Team in planning and managing the construction projects for new or existing offices.
Oversee construction project life cycle, collaborating with other departments and management teams.
Perform scheduling, estimating, materials procurement, vendor management, and site supervision.
Compliance and Audit.
Ensure that all required permits and certification of the facility are updated.
Regularly conduct internal audit for managed sites.
Preparation of the site and provision of assistance during internal and external audit activities.
Submit reports and artefacts required during audit activities and management reporting.
Submit sites' accomplishment report.
Logistics.
Oversee logistical requirements for business-related functions which includes provision of transport vehicles, coordination for travel and hotel bookings for arriving clients, business partners, global leaders, etc.
Oversee provision of service vehicles for operational requirements and fulfillment, including inter-facility transfers, official business travels, business continuity, and work at home asset deployment and retrievals.
