Job Summary: The Onboarding Specialist is responsible for managing and executing all aspects of the employee onboarding process. This role ensures a seamless and positive experience for new hires, from pre-employment to day one and beyond. The Onboarding Specialist will collaborate with recruiters, candidates, and cross-functional teams to facilitate necessary documentation, coordinate background verification, confirm equipment delivery, and provide onboarding support.
Key Responsibilities:
I-9 and Background Verification:
- Initiate and oversee the background check and I-9 verification process for new hires within the required timeframe.
- Coordinate background check procedures by selecting the appropriate background verification package.
- Ensure accurate documentation and timely completion of the verification process.
Equipment Shipment Confirmation:
- Complete steps to order the appropriate equipment for each hire
- Confirm equipment shipment details for new hires.
- Track and ensure on-time delivery of equipment, obtain assistance for new hires if there are problems with the equipment or on-time delivery.
Onboarding Setup:
- Personalize onboarding messages for new hires and obtain information from the hiring manager to create an onboarding agenda for the new hires? first two weeks with the organization.
Work Email Creation and software set up.
- Coordinate with the IT and Exchange team to obtain new hire email credentials, licenses and access to the software needed for the new hire.
Collaboration and Support:
- Serve as a primary point of contact for new hires during the onboarding process.
- Work closely with recruiters, IT, and fulfillment partners to resolve any onboarding-related issues.
- Track and report onboarding progress, ensuring timely completion of tasks.
Compliance and Documentation:
- Maintain accurate records of onboarding activities.
- Ensure compliance with all company policies, legal regulations, and documentation standards.
- Ensure candidate has completed onboarding steps and has started on-time with the organization.
Project and Aduit Responsibilities:
- Maintain assigned trackers, such as the background tracker, contract worker tracker and others.
- Participate in audits as assigned to obtain and present evidence on hiring and onboarding steps.
Source candidates when assigned for specific roles.
Qualifications:
- Bachelor?s degree in Human Resources, Business Administration, or related field preferred.
- 2+ years of experience in onboarding, HR administration, or related roles.
- Familiarity with HRIS systems (Workday preferred).
- Strong organizational and time-management skills.
- Excellent communication and interpersonal abilities.
- Detail-oriented with a focus on delivering a positive candidate experience.
- Willingness and ability to work 8-5 Eastern Time.
Preferred Skills:
- Experience in a fast-paced, high-volume environment.
- Experience hiring candidates located in the United States.
- Proficiency in Microsoft Office Suite.
