Job Description:

We are currently looking for a meticulous and detail-orientated Payroll Tax Administrator. The Payroll Tax Administrator is responsible for managing payroll tax compliance and reporting functions within the organization. They ensure accurate and timely payment of payroll taxes while maintaining compliance with federal, state, and local tax laws and regulations.

Key responsibilities:   

  

  • Ensure compliance with federal, state, and local payroll tax laws, regulations, and reporting requirements.

  • Calculate, withhold, and remit payroll taxes, including income tax, Social Security, Medicare, and unemployment taxes.

  • Monitor changes in tax laws and regulations and implement necessary updates to payroll systems and processes.

  • Prepare and file payroll tax returns, forms, and filings accurately and on time, including quarterly and annual tax reports.

  • Reconcile payroll tax liabilities and payments to ensure accuracy and completeness.

  • Respond to tax notices and inquiries from regulatory agencies and resolve any discrepancies or issues.

  • Reconcile tax deposits with payroll records to ensure accuracy and compliance.

  • Maintain accurate records of payroll tax transactions, filings, and correspondence for audit and compliance purposes.

  • Organize and archive tax documents and records following record retention policies and regulations.

  • Update and maintain payroll tax tables, rates, and formulas in payroll software and systems.

  • Test and validate payroll tax calculations and deductions to ensure accuracy and compliance with tax laws.

  • Participate in internal and external audits of payroll tax processes, controls, and documentation.

  • Collaborate with auditors to provide requested information, resolve discrepancies, and implement audit recommendations.

  • Person to handle payroll processing tasks in the absence of primary payroll administrators.

  • Perform cash reconciliation on a regular and periodic basis, such as monthly, quarterly, or annually, to ensure ongoing accuracy and integrity of cash balances and transactions.

  • Managing payments between ADP and Workday in a timely manner.

  • Review the differences between the cash balances in the accounting records. Discrepancies may arise due to timing differences, errors in recording transactions, bank fees, outstanding checks, or deposits in transit.

  • Investigate and reconcile any discrepancies by tracing the flow of cash transactions, verifying the accuracy of recorded amounts, and identifying the reasons for differences between the accounting records and bank balances.

  • Respond to employee and partner inquiries, requests, and concerns via phone, email, or chat interactions in a timely and professional manner.

  • Assist customers with product selection, customization options, troubleshooting, and problem resolution to meet their needs and preferences.

  • Investigate root causes of escalations and collaborate with internal departments to implement corrective actions and prevent recurrence.

  • Build rapport and foster long-term relationships with internal and external partners by providing personalized attention, addressing individual preferences, and exceeding expectations for service quality.

  • Proactively follow up with customers to ensure satisfaction, gather feedback, and identify opportunities for improvement in our services and processes.

Education:  

  • High School Graduate, bachelor’s or associate degree in accounting finance, associates, business/administration or equivalent.

Experience:  

  • 2-4 years’ experience as payroll tax administrator and HR administration or equivalent.

  • Strong communication and interpersonal skills.

  • Computer skills: MS Office

  

Skills:  

  • Work with the Controller to ensure all Finance employee goals are established, monitored and followed up on an ongoing basis in accordance with Company policy.

  • Preparing tax reports and reconciliations

  • Distributing and processing W-2s

  • The ability to excel in a dynamic environment and interact with all levels of the organization

  • Constantly review processes and procedures to maintain an effective service

  • Provide outstanding customer service to our internal customers - the employees

  • Work closely with Area HR to resolve employees' pay issues

  • Work directly with Accounting and Finance Department regarding bank reconciliation and journal entries
