This individual will assist in the functions related to overall Facilities and Administration to support the organization's business operations. This will cover Building Operations and Maintenance, Building Security and Safety, General Admin Services, assistance to Space Planning and Construction Works and Compliance and Audit.

Job Description:

Education : Any Bachelor's Degree (IND)

Experience : 1 - 2 years (IND) Previous experience in facility management, administrative support, or a similar role is preferred. Knowledge of facility operations, health and safety regulations, and compliance standards.

Roles & Responsibilities :

OFFICE MANAGEMENT TEAM

Operational Requirements

  • Maintains and updates inventory of CREST assets (headsets, lockers, pedestals, webcam, etc.) issued to Operations -

  • Conduct regular inspections of the premises to identify maintenance needs, safety hazards, and potential improvements.

  • Ensures that all issued and on-hand assets are properly documented and tagged

  • Assists in the safekeeping and repair of CREST assets

  • Coordination with stakeholders for asset and supplies requests and Procurement for vendor communications

  • Monitors inventory of operational requirements (furnitures and fixtures, office supplies, headsets, lockers, etc.) and life cycle of the assets

General Admin Services

  • Supervision of the admin staff -

  • Monitoring of regulatory permits for renewal, collation of requirements and preparation of payment requests

  • Coordination with government agencies as needed

  • Coordination with Procurement for vendor contracts and communication -

  • Management of Food Concessionaires

  • Management of Messenger Services

  • Responds to stakeholder concerns and complaints

  • Planning and scheduling of room reservations and training calendars; management of staff house reservations

  • Provide assistance for any logistical and supplies requirements for meetings, trainings, and Client visits

  • Responsible for the storage and inventory of office and pantry supplies

  • Preparation and monitoring of purchase requests through ARIBA

  • Handles petty cash for department's revolving fund

  • Processing of billings and monthly operational expenses

  • Monitoring of Clearance issuance to resigned employees

  • Monitoring of Vehicle Pass issuance

  • Ensures availability of photocopying services and coordinates maintenance as needed

  • Ensures Pest Control Services are conducted periodically, as scheduled - Provide assistance to Logistics and Fulfillment-related services

Housekeeping Services

  • Constant monitoring and management of the housekeeping team meeting quality standards set for all areas of the facility

  • Regular monitoring of the cleaning and maintenance of the pantry and comfort rooms and ensures the availability of supplies

COMPLIANCE OFFICER

  • Ensure compliance with the requirements of government laws, policies, and implementing rules and regulations

  • Monitor organization's activities related to Pollution and Environment Control; identify significant environmental aspects and impacts of the organization's operational activities and recommend mitigating measures; ensure proper performance, operations, and maintenance of environmental management facilities and systems of the organization -

  • Create and review risk assessment requirements related to CREST

  • Assist in Business Continuity Plan (BCP) activities - Assist in internal and external audit and compliance activities

Mandatory Skills :

  • Proficient in English (verbal, written)

  • Knowledge in MS applications such as Word, Excel, and PowerPoint

  • Finance and Management Skills - Knowledge in SAP / ARIBA / Workday

  • Customer service and communication skills - Planning and organizing skills

  • Proactive problem-solving skills and the ability to handle challenges with a solution-oriented approach.·
