The purpose of this role is to ensure the efficient management and safekeeping of employee files, maintaining accurate records and data updates in the system. The position also supports HR operations by preparing reports, assisting with system queries, and upholding information security standards to protect the organization’s assets and confidential data.

Education:

  • College Graduate

Experience:

  • 0-1 years of HR experience.

Mandatory Skills:
With Basic Competency Level on the following:

  • Drive for results/Execution

  • Process Improvement

With Moderate Competency Level on the following:

  • Communication skill (Spoken)

  • Communication skill (Written)

  • Customer Service Orientation

  • Able to adapt to using different online systems with different program languages.

  • Knowledge of process mapping, streamlining and documentation

Communications skills:

  • Verbal proficiency in English, additional language a plus

  • Business and technical writing skills

Other skills:

  • Excellent human relations and management skills.

  • Should be able to discharge duties with minimal supervision.

Preferred Skills:

  • Computer skills: MS Excel, MS Word, Microsoft Power Point, Data base management experience such as SAP, ORACLE etc. preferred.


Roles & responsibilities:

  • Conducts induction of all new hires in the system.

  • Prepares, and maintain accurate reports for use of top management.

  • Keeps track and updates the system for any detail changes/movements of all employees.

  • Serves as gate keepers for the 201 files.

  • Prepares and customizes data reports as required by the business.

  • Coordinates with various departments regarding data update.

  • To provide administrative assistance and support the division leaders and the HR head.

  • To provide assistance to System queries as Data Team Helpdesk.

  • To raise system concerns using the ticketing system as Data Team helpdesk and provide feedback.

  • General Safety and Security

  • Protects the organization’s assets by upholding the principles of the Quality Information Security Management System (QISMS).

  • Ensures confidentiality, integrity, and availability of information critical to fulfilling the organization’s business functions.

  • Reports Information Security related incidents without any delay to the right authority. Example: All information related incidents, losses, weaknesses and software/hardware malfunctions, breaches of confidentiality.

  • Actively participates during training, orientation and awareness programs pertaining to QISMS & Data Privacy
